To be arranged before your employment at VŠE
Personal Questionnaire and Statutory Declaration
One of the obligations that must be fulfilled before is the completion of a personal questionnaire. Furthermore, a statutory declaration is required in two versions: for your situation before and for your situation after the start of the employment. This is completed by the incoming employee at the start of the employment process. These documents serve as a basis for establishing and subsequently verifying personal data and establishing the person in the HR and payroll system. The processing of personal data is carried out in accordance with current legislation.
The personal questionnaire must be delivered fully completed and signed to the contact person who arranges the recruitment of the employee at the VŠE as soon as possible (upon agreement).
Further Documents
Unless already provided, we also need other documents: a CV, a scan of a diploma, a scan of an ID card or a passport (the page with the picture only), a scan of your Czech health insurance card if you have one already, and a scan of your residential permit if you already have one / if applicable.
E-learning Course in Moodle
We highly recommend the online course Basic Information for Employees, which we have prepared for you in Moodle. In the course, we’ll introduce you to what your school account looks like, how to connect to the school Wi-Fi eduroam and how to log in to various internal systems, which we’ll show you in more detail.
What is Moodle? Moodle is a learning management system (LMS). It is a very widespread platform that is used by the best universities in the world as well as international companies. The transformation of courses to Moodle began in 2022 and we currently have more than 400 courses in the Moodle LMS.
First Day at VŠE
Your first day is the time to get all the essentials in place – activate your access credentials, pick up your staff card and set up multi-factor authentication for a secure access. Remember that you must have a valid ID with you because the Help Desk staff are required to check your identity.

Access to InSIS
InSIS is the central information system of the University, serving to support the study, scientific and research activities of students and employees. You can access the system from anywhere on the internet using a web browser at this website.

Access to Eduroam
Eduroam is a wireless network operated by research and educational institutions that provide connectivity to users across Europe and some other continents. Users should be able to connect with their username and password anywhere this wireless network is available.

Access to Office 365
Office 365 is a tool that the University provides to its employees for efficient work. With your school account, you can sign up for Office applications on up to 5 devices for free. Just use your school login details and you will immediately have access to Word, Excel, PowerPoint and other tools.
Access to InSIS
Your user account is created based on data from the personnel system. When? On your first day of work, if you have signed an employment contract or agreement.
How do you obtain your login details?
- If you do not yet have an account at VŠE, you will receive a new username and password at the Help Desk in Žižkov (SB 22). Use the login details you receive to log in to your computer and InSIS. The password for InSIS and your work PC is the same! You can then change your password in the Information System Settings section. The assigned username does not change throughout your studies or employment and is unique within the University. It has the standard format: pppjnn, where ppp are the first three characters of your surname, j is one character from your first name, and nn are two or three digits that ensure the uniqueness of user names even when the first three characters of the surname and the first letter of the first name are the same. In some systems, the username must be entered including the domain “@vse.cz”, i.e. “username@vse.cz”. This applies to logging into the eduroam wireless network and VPNs (virtual private networks – a means of securely connecting computers), as well as Office 365. When logging into your work computer, use your username without “@vse.cz”.
- If you already had a VŠE account (e.g. as a student or external collaborator), your username will remain the same. If no more than 180 days have passed since your previous activity at VŠE, your password will remain the same. If more than 180 days have passed, a new password will be generated.
Access to Eduroam Eduroam is a university Wi-Fi network that you can connect to using the same username as for InSIS (username@vse.cz). The Eduroam password is independent of your primary password and is set separately here. However, you need to know your primary password (InSIS password).
Access to Office 365
Employees and students have the opportunity to use Microsoft’s Office 365 online services. You can log in to Office 365 via this page. Use your username in the format username@vse.cz and enter the same password as for InSIS.
Multi-factor authentication
Multi-factor authentication: MFA = Multi Factor Authentication for logging into InSIS and Microsoft 365 significantly reduces the possibility of misuse of login details (phishing, keylogging, accidental disclosure, e.g. during a presentation in class, etc.). The second factor will be required when logging in from a new device or after a certain period of time (30-90 days).
You set up multi-factor authentication separately for InSIS and Microsoft 365. InSIS only offers the option of generating one-time codes, while Microsoft 365 offers multiple methods. Please note that MFA codes generated for InSIS will not work in Microsoft 365 and vice versa. However, it is possible to log in to InSIS using Microsoft 365 if necessary, as follows: When setting up MFA, we strongly recommend that you set up multiple login methods in Microsoft 365 so that you can still access the school systems if you lose your mobile phone, for example.

Employee card
You will need an employee card to access buildings and use university services (e.g. library, caffeterias).
How to obtain it? You can apply for the card in person at the ID Card Administration office (SB 22) during it opening hours. We will be happy to answer your questions and additional inquiries on the telephone line 5831 or at the email address karty@vse.cz, where you can arrange for an individual card to be issued.
We recommend that you arrange your InSIS and Eduroam access details and your employee card at the same time in person at the VŠE premises in Žižkov.
